Everything you need to know before booking Round1 Gaming Lab. From setup and safety to pricing, payments, weather, and gameplay, this page breaks down how the Lab works before we pull up to your event.

Booking and Payment
How do I reserve an event?
Click “Book Now” anywhere on the website and complete the booking request form. Once availability is confirmed, an invoice will be emailed with a secure payment link. Payments are processed through Wix. We accept major credit cards, PayPal, and Cash App. Cash and checks are not accepted.
Is there a deposit required?
Yes. A $100 deposit is required to reserve your event date and time. This deposit is applied toward your total balance.
When is the remaining balance due?
The remaining balance must be paid in full 14 days before your scheduled event date. Failure to pay the remaining balance 14 days before the event may result in cancellation and forfeiture of the
deposit.
What is your cancellation policy?
Cancellations made more than 14 calendar days before the event will receive a full refund of the deposit.
Cancellations made within 14 calendar days of the event will result in the deposit being forfeited.
All cancellations must be submitted by email only to info@round1gaming.com. Phone calls and text messages are not accepted as cancellation notices.
How do I reschedule an event?
Events may be rescheduled one time only. The new date must be within 60 days of the original event date and is based on availability. Rescheduled dates and times are not guaranteed.
How old do you have to be to reserve an event?
You must be 18 years or older to reserve an event. If we arrive and no responsible adult is reachable, we reserve the right to end the event with no refund.
Pricing and Fees
Do large events cost more?
Yes. Large events are priced differently than standard private parties. Our standard packages are built for private events with up to 20 guests inside the trailer at one time.
Events with 100 or more total guests require a $125 large group fee because they usually involve constant rotations, larger crowds, extended play time, and a higher level of event flow management.
Custom pricing may also apply based on crowd size, schedule, location, setup needs, and event length.
What counts as a large event?
A large event is any event with 100 or more total guests, or any event that requires constant guest rotations, extended hours, additional setup planning, or a higher level of crowd flow management.
This may include school field days, festivals, Parks and Rec events, church events, corporate events, community celebrations, and larger youth programs.
Is there a mileage fee?
Yes. Round 1 Gaming Lab operates out of Warren, Michigan. 10 miles roundtrip are included with every package.
Mileage is calculated roundtrip. Any distance beyond the included miles is charged at $1 per additional mile.
For example, if your event is located 40 miles roundtrip from Warren, 10 miles are included, 30 additional miles are billable, and the mileage fee is $30.
Mileage fees are added to your final invoice and must be paid before the event.
Are outdoor TVs included?
Outdoor TVs are available as an add on for $125 when weather and setup allow. Outdoor TVs help create more play space and can allow more guests to play at one time.
Trailer and Setup
What kind of space is required for the trailer?
A flat, level surface is required for safe operation. Flat ground works best every time.
We do not guarantee driveway access. Suitable spaces include parking lots, school lots, church lots, cul de sacs, or other level paved areas. The setup area must be clear of vehicles before arrival.
Do you drive with kids inside the trailer?
No. Safety is our priority. Once parked, the trailer remains stationary for the entire event.
How early do you arrive for setup?
We arrive 30 to 60 minutes before your scheduled start time to park, power up, and test all systems. Setup time does not count against your event time.
Do you need access to power?
No. The Lab is fully self powered using our onboard generator. We may request outlet access only if connecting to your internet through Ethernet.
Do you run on a generator?
Yes. All systems, lighting, and climate control are powered by a generator. Noise levels are minimal and comparable to standard commercial generators. In extreme cold or severe weather, startup times may vary.
Is the trailer heated and air conditioned?
Yes. The Lab is fully climate controlled to keep guests comfortable and equipment properly maintained year round.
Is there a bathroom inside the trailer?
No. There is no restroom inside the trailer. Guests should plan to use available restrooms at the event location.
What happens if guests arrive late?
Your event time begins at the scheduled start time, not when guests arrive. Additional time may be added only if availability allows and will be billed accordingly.
What happens if there is bad weather?
Our trailer operates in most weather conditions. If severe weather creates safety concerns, we will contact you. Weather-related cancellations are eligible for rescheduling only. You all know how Michigan weather gets and we WILL NOT put ourselves or our business at risk if we are not comfortable.
What happens if the trailer experiences a breakdown?
In the rare event of a mechanical issue that prevents us from completing your event, we will offer a full refund or reschedule based on availability.
Guests and Gameplay
Is there a minimum age requirement?
Yes. Guests must be 6 years of age or older to enter the Lab. This policy helps keep the Lab safe, clean, and fully functional for all guests. Children under 6 are not permitted inside the Lab.
How many guests can fit in the trailer?
Up to 20 guests can be inside the trailer at one time, depending on size. Outdoor TVs may be added when weather and setup allow.
How many guests can play at one time?
Up to 20 guests can play indoors at one time. With outdoor TVs added, up to 28 guests may be able to play at one time. Most stations allow up to 4 players per TV, depending on the game.
What gaming systems do you offer?
We currently offer:

We also have over a hundred games available.
Is there internet in the trailer?
Yes. We use a T Mobile internet connection, which works depending on location. We do not ensure working on reliable internet it is based solely off of T Mobile and their signal.
Popular games that require internet include Fortnite, Roblox, Call of Duty Warzone, and Apex Legends.
Can guests bring their own games?
Yes. Guests may bring their own games, but all games must be approved before use. We reserve the right to deny any game that does not fit the event, age group, or equipment setup.
What types of games are offered?
We offer a wide range of popular multiplayer games. Prior to your event, we can ensure only age appropriate and approved games are available. No game will be provided without your approval.
Do you allow M rated games?
M rated games are only available with prior approval from the booking adult. Without approval, those games will not be accessible.
Safety and Event Policies
Do you allow food or drinks inside the trailer?
No. Due to the amount of high end gaming equipment, food and drinks are not allowed inside the trailer. Guests may eat outside the Lab. Hand sanitizer is available before entering.
Do your staff supervise the kids?
Yes. Our game coaches actively supervise gameplay, manage rotations, and monitor equipment.
Parents are not required to remain on site, but the booking adult must be reachable for the duration of the event. We reserve the right to pause or end gameplay if behavior becomes unsafe or equipment is being mishandled.
Are you insured?
Yes. We are fully insured. Proof of insurance is available upon request.
Can guests take photos or videos?
Yes. Guests may take photos and videos. We may occasionally capture content for marketing. If you prefer your event not to be photographed or shared, please notify us in advance.
Why don’t you offer pizza or cake?
To keep pricing simple and affordable, we focus strictly on entertainment services. Providing food would increase costs and could cause delays. We also cannot guarantee the quality or freshness of food from third party vendors.
Right to Refuse or End Service
We reserve the right to refuse service or end gameplay if our staff feels unsafe, guests are mishandling equipment, or event conditions create a safety concern. In those situations, all fees paid may be forfeited.
